Personal Assistant to Actor

A high-profile, discreet talent based in New York City is seeking an experienced and exceptionally organized Personal Assistant to provide comprehensive day-to-day support. The ideal candidate has prior experience working with a high-profile talent, understands the demands of the entertainment industry, and has on-set experience. This is a dynamic, fast-paced role that requires a high level of discretion, adaptability, and commitment. The ideal candidate is highly proactive, excels at multitasking, and consistently seeks effective solutions. 

Details: 

New York City, NY- plus travel when needed nationally and internationally 

Schedule: Full-Time | Must be flexible and available 24/7 as needed

Compensation: 150k plus Benefits

 

Key Responsibilities:

  • Provide daily personal and administrative support to the principal

  • Serve as a reliable liaison between the Actor and their team, family, colleagues, and third parties

  • Manage complex and ever-changing calendars, appointments, and schedules

  • Coordinate travel arrangements (domestic and international), including private air travel, hotel bookings, greeters, and itineraries

  • Assist with set logistics, call times, wardrobe, and general support during filming

  • Maintain and update important documents, contracts, and contacts with utmost confidentiality

  • Handle errands, shopping, personal tasks, and household-related needs

  • Anticipate needs and ensure the talent’s day always runs smoothly

  • Pack and unpack for travel, ensure essentials are on hand

  • Support with organization of gifts, events, and personal celebrations

  • Occasionally accompany principal to meetings, events, and shoots

  • Manage household needs -- vendors etc. as well as stocking of the home 

  • Interfacing with family 

Requirements:

  • Minimum 3 years’ experience as a Personal Assistant to a high-profile Actor (required)

  • Prior on-set experience with an Actor (required)

  • 24/7 mindset with flexibility to travel and work nontraditional hours

  • Strong discretion, confidentiality, and professionalism

  • Excellent verbal and written communication skills

  • Highly organized, proactive, and calm under pressure

  • Valid driver’s license and clean record (preferred)

  • Tech-savvy and comfortable navigating Apple products, shared calendars, etc.

The ideal candidate has already supported a known Actor and understands the nuances of set life, press, downtime, and privacy. The candidate thinks three steps ahead and can problem-solve independently, graceful under pressure and maintains poise in fast-paced, ever-changing environments.  Seeking emotionally intelligent, trustworthy, and personable but not overbearing, comfortable working within a tight-knit and highly private team.
